What determines ERP pricing?

Before comparing two quotations, make sure they cover the same users, modules and services. Some of the following items may be included in the package; others may be priced separately.

Licence or subscription

This is the cost of the right to use the software. It may be calculated per user, company, location, module or package. Confirm the pricing basis and the features included in the quotation.

Analysis and configuration

This covers process analysis, company setup, permissions, forms and reports. Ask for standard implementation and business-specific development to be listed separately.

Data migration

This includes transferring item and customer or supplier records, opening balances, prices and, where needed, transaction history. Agree on responsibilities for data cleansing, trial migrations and validation upfront.

Integrations

Connections to online stores, marketplaces, banks, e-document services, carriers and production equipment may require additional work. Separate integration setup fees from third-party usage charges.

Training and go-live

Allow time and resources for user training, testing and initial operational support. The quotation should state training hours, participants, refresher sessions and on-site service conditions.

Support and operation

Identify who pays for support, updates, infrastructure, backups and additional capacity. Review services included in the subscription alongside separately charged activities.

When defining scope, first identify the ERP modules and processes specific to your industry you need. Request a quotation for a system that supports your daily operations rather than features you will not use.

How do you compare cloud and on-premises ERP costs?

Do not compare a cloud subscription and an on-premises deployment by the initial payment alone. Use the same time horizon and separate included services from costs your business must cover. The following are general checkpoints; the quotation and contract define the actual scope.

Cost checkpoints for cloud and on-premises ERP quotations
Checkpoint Cloud ERP On-premises ERP
Software usage cost Check the users, modules and locations covered by the subscription. Check the licence scope, additional user fees and usage conditions.
Server and database Ask whether hosting and the database are included in the service. Budget separately for the server, operating system and database licences where required.
Backup and security Clarify retention periods, recovery arrangements and service responsibilities. Define the backup infrastructure, access security and responsible team.
Updates and support Find out which support channels and updates the package includes. Review the maintenance agreement, version upgrades and support scope.
Growth and exit Check the terms for additional users, storage and data exports. Check the terms for licence expansion, hardware upgrades and data migration.

Your first-year and three-year ERP budget

Implementation costs are more prominent in the first year. In later years, subscriptions or maintenance, support, additional users and capacity needs affect the budget. Keep one-off and recurring charges on separate lines.

First-year total

First-year licence or subscription fees + analysis and configuration + data migration + integration setup + training + separately charged infrastructure and support for the first year.

Three-year total

First-year total + subscription or maintenance fees for years two and three + separately charged support and infrastructure + planned increases in users, locations and scope.

Do not count an included service twice or add a one-off licence fee every year. Compare quotations using the same currency, period and tax basis. Model renewal increases separately using the contract terms.

Costs that are easy to overlook

Ask about data cleansing, employee time for testing, barcode printers and handheld terminals, extra storage, custom reports, new integrations and third-party usage charges. For on-premises deployments, check whether the chosen infrastructure requires database or client access licences; these are not mandatory in every project.

Questions to ask before requesting an ERP quotation

Ask suppliers to answer the same questions in writing. Marking a service as not included or subject to analysis is more informative than leaving the scope blank.

  1. How many users, companies, branches, stores and warehouses are included?
  2. Which modules are standard and which cost extra?
  3. Which records and how many trial migrations does data migration cover?
  4. Are integration setup fees separate from ongoing usage charges?
  5. How many hours or days of training, configuration and go-live support are included?
  6. What are the terms for maintenance, support and updates?
  7. How are additional users, new branches, extra capacity and custom reports priced?
  8. What are the currency, tax basis, validity period and renewal terms?
  9. In what format and under what conditions can data be retrieved when the contract ends?

Before the meeting, prepare your user and location lists, core workflows, current software details and systems that need connecting. ERP requirements analysis can help clarify the scope behind the quotation.

Frequently asked questions about ERP pricing

Why do ERP prices differ?

Quotations differ because user counts, modules, company and location structures, integrations, data migration and service scope vary. Two packages with the same name should not be assumed to cover the same work.

Does buying an ERP licence cover the entire project?

Not always. Analysis, configuration, data migration, training, integrations and support may be charged separately. The quotation should clearly state included and excluded services.

Is cloud ERP always cheaper?

The deployment model alone does not answer this question. Compare users and modules, subscription length, services and on-premises infrastructure costs together. First-year costs and multi-year totals may lead to different conclusions.

Is there a fixed rate for annual maintenance and support?

There is no single rate that applies to every ERP product. Fees and scope depend on the provider's contract. Ask separately about updates, support, on-site services and custom development.

How many years should an ERP budget cover?

A three-year plan alongside the first-year budget helps you consider renewals, support, growth and infrastructure costs together. Use the contract's price adjustment terms rather than assuming future prices will stay unchanged.

How can I request a Korgün ERP quotation?

Request a requirements analysis by sharing your user and location counts, business processes, current software and integration needs. KG Palaimon and Korgün Cloud ERP options are evaluated against your business scope.
